Daily:
Units Available Report: See what is currently sitting on your lot.
Reservation Manifest: A snapshot of the day's loaner appointments.
Contracts Open by Date Out Report: See all the units you have out, with the ones out the longest on top, to quickly spot problems.
Weekly:
Service Writer Activity Report: Know at a glance how long your each member of your staff is keeping out loaner vehicles.
Unit Utilization Report: Plan your fleet and your appointments. Knowing your unit utilization allows you to plan for even depreciation and replacement.
Maintenance Due Report: Reduce your vehicle downtime by scheduling maintenance well ahead of time. This report will show you which vehicles are coming up for maintenance next.
Open Non-Revenue Tickets Report: Check on vehicles that have been taken out for a reason other than a customer by examining all your open non-revenue tickets.
Monthly:
Missing Mileage Report: View any mileage that was not accounted for on a contract or non-revenue ticket.

When not paying for a vehicle, customers will often keep them out over their limit, and your staff is focusing on the service drive, so they may neglect to follow up on overdue vehicles.
Maximize your vehicle use by setting up Overdue Vehicle Notifications and receiving an email whenever a vehicle is overdue. Follow up quickly and easily because the email also delivers the customer's name and phone number.

Use TSD Lexus LOANER Management Software's Pop Up Alerts to keep notes on customers regarding preferences. Problem customers should be indicated with the popup alert “Send to Car Rental Company,” and you can use the alert to put preferred customers in your best vehicles.
Use Your Loaners to Sell
Loaner vehicles are provided as a customer service, but they can also be considered an extended demo.
Make a policy to give your sales team a copy of your reservation manifest and allow them to note those customers who are on the market for a new vehicle. Then, you can place those customers into the type of vehicle the sales team would like them to demo.
